Privacy Policy
In short
We only collect what you choose to send us — an enquiry, a message to the assistant, or an email. We use it to answer you and to do the work you ask for. We do not sell it, and we do not share it for anyone else's advertising. You can ask us to delete it at any time by emailing [email protected].
Who we are
XDStudio (Xceptional Design Studio) is an architectural design, visualization and construction studio based in Trinidad and Tobago. This policy covers the website at xdstudiott.com and the assistant embedded on it. It does not cover other websites we link to, or conversations that move to WhatsApp, email, phone or in person — those are covered by the terms of whichever service you use to reach us, and by ordinary confidentiality on our side.

What we collect
We do not ask you to create an account, and we do not buy information about you from anyone. What we hold comes from you:
- Enquiries. When you send an enquiry through a form on this site, we store the name and contact details you give us, your message, and the details of what you are asking about — the plan or project, the service, the deliverables you selected, the project type and the location you typed. Nothing in that form is mandatory beyond what is needed to reply to you, and it is fine to leave out anything you would rather not share.
- Messages to the assistant. See the next section.
- Anything you send us for the work itself. If you become a client, you will send us things like a survey plan, a deed or lease reference, a site address, photographs or a builder's quotation. We hold those because the job cannot be done without them.
- Ordinary server records. Like any website, ours records requests as they come in — the page requested, the time, the browser, and the IP address the request came from. We use these to keep the site up and to stop repeated failed login attempts on our own admin area. They are not tied to your enquiry, and we do not use them to build a profile of you.
We do not collect payment card details on this website. We do not run a newsletter, so we are not holding a marketing list.
The website assistant
The chat and voice assistant on this site is Stelt, a product of Shasha Technology, embedded here under our own account. When you talk or type to it:
- the text of your messages and its replies is stored so we can read the conversation afterwards and follow up on anything you asked;
- if you speak to it, your speech is transcribed to text by a speech-to-text provider. According to Stelt, audio recordings are not stored — only the resulting text;
- your message and the relevant context are sent to an AI model provider to generate the reply;
- an approximate location (such as country or city) is derived from your IP address and stored; according to Stelt the IP address itself is not stored;
- a random visitor identifier is saved in your browser so the assistant recognises a repeat visit (see the next section).
Anything you tell the assistant is treated the same way as an enquiry — it reaches us, and we use it to help you. For how Stelt itself handles that data, see the Stelt Privacy Policy (opens in a new tab) and Terms of Service (opens in a new tab).
The assistant is an AI. It can be wrong, and nothing it says is a quotation, an approval, or professional advice. Anything that matters — a price, a timeline, whether a drawing needs an engineer — should be confirmed with us directly.
Cookies and browser storage
This site sets very little in your browser:
- Assistant visitor ID— a random identifier (“stelt_vid”) saved in your browser's local storage by the assistant, so it can recognise a returning visitor. It contains no personal details. Clearing your browser storage removes it.
- Admin session — a login cookie set only for us when we sign in to manage the site. It is never set for ordinary visitors.
- Security cookies — our hosting is delivered through Cloudflare, which may set its own short-lived cookies to tell real visitors apart from bots and to keep the site online.
We do not set advertising or analytics cookies on this website. That is why you are not seeing a cookie consent banner — there is nothing here to consent to beyond what the site needs to work.
How we use your information
We use what you send us to:
- reply to your enquiry and answer your questions;
- prepare a quotation, a drawing package, a visualization or a build, if you ask us to;
- coordinate with the authorities and professionals a project requires, with your knowledge;
- keep our own records of the work we have done;
- keep the website and our admin area secure.
We do not sell your information, rent it, or hand it to anyone for their own marketing. We may email or message you about a project you asked us about; if you would rather we stopped, say so and we will.
Who we share it with
Only where it is needed to run the site or do the work:
- Stelt (Shasha Technology) — runs the assistant and stores those conversations on our behalf.
- Cloudflare— delivers and protects the site, so requests to it pass through Cloudflare's network.
- AI and speech providers used by the assistant — to generate a reply and to transcribe speech, per request.
- People a project actually needs — for example an engineer, a draughtsman, a surveyor, a contractor or an approving authority, where that is part of the work you asked us to do.
- Where the law requires it — if we are legally obliged to disclose something.
Some of those providers operate outside Trinidad and Tobago, so information sent through the assistant may be processed abroad.
Advertising and analytics
We advertise our work on social media and search. As of the date at the top of this page, this website carries no advertising pixel and no analytics tracker — if you arrived here from one of our ads, the ad platform knows you clicked it, but we are not passing anything back to it from this site.
We may add a measurement pixel in future so we can tell which ads are worth running. If we do, we will update this page to name it and say what it does, before or at the same time as it goes live.
How long we keep it
- Enquiries are kept until we delete them. We are a small studio and an old enquiry is often the start of a later project, so we do not delete them on a schedule — but we will delete yours on request.
- Project records are kept for as long as we may reasonably need them — drawings and approvals can matter years after a build.
- Assistant conversations are kept in our Stelt account and deleted when we clear them.
- Server records are short-lived and are overwritten in the normal course of running the site.
Security
The site is served over HTTPS. Our admin area is password-protected, limited to us, and rate-limits repeated failed logins. Enquiries are stored on our own server rather than with a third-party form service. No system is perfectly secure, so please do not send us anything highly sensitive — identity documents, bank details — through a web form or the assistant; email or hand them over directly instead.
Your choices
Email [email protected] and you can ask us to:
- tell you what we hold about you;
- correct anything that is wrong;
- delete your enquiry and your conversation with the assistant;
- stop contacting you.
We will do it, and we will not ask you why. The one exception is information we need to keep for work already done or for a legal obligation — if that applies, we will tell you which part and why. You can also clear the assistant's identifier yourself by clearing your browser's site data.
Children
This site is for people commissioning design and construction work. It is not directed at children, and we do not knowingly collect information from them. If a child has sent us something, email us and we will delete it.
Links to other sites
Our guides link to official sources such as planning and utility authorities, and our pages link to our social media. Those sites have their own privacy policies, and we are not responsible for what they do with your information.
Changes to this policy
If we change how we handle information — most likely by adding a measurement pixel, or by adding a feature that collects something new — we will update this page and change the date at the top. There is no mailing list to notify, so the date is the honest signal: if it has moved, something changed.
